Principles of Awarding Honorary Patronage by the Rector of UMCS

The honorary patronage of the Rector of UMCS is granted to projects of exceptional importance and significance for the University, contributing meaningfully to the development of science. The Rector's patronage may extend to events organized by student organizations and associations operating within the University, as well as scientific initiatives undertaken independently by UMCS or in collaboration with business, academic, or charitable communities, along with other projects of special importance.

General Information

  1. The Rector's patronage over an event is an honorary distinction highlighting the unique nature of the project. However, this distinction does not imply any financial or organizational support for the event.
  2. The final decision regarding honorary patronage is made by the Rector. For student initiatives, the Rector may delegate the Vice-Rector for Student Affairs on his behalf.
  3. Decisions regarding honorary patronage are final and applicants cannot appeal a refusal.
  4. Only the primary organizer of an event is eligible to apply for the honorary patronage of the Rector of UMCS.

Conditions for Granting Patronage

  1. Applications for honorary patronage must be submitted through the designated application form.
  2. Applications must be submitted at least 21 days before the planned start of the event.
  3. Applications submitted after this deadline will not be considered.
  4. In exceptional and justified circumstances, the Rector may grant honorary patronage on his own initiative at any time, regardless of the submission date.
  5. The application should clearly demonstrate the special significance of the project for the University and outline the benefits of the Rector's honorary patronage.
  6. If an application contains formal deficiencies, the applicant will be notified and required to provide the necessary corrections within 5 days of receiving the request. Incomplete applications will not be considered, and the applicant will be informed accordingly.
  7. For events organized by research - didactic or research employees, the application must include a positive opinion from the direct supervisor and the director of the institute, for teaching staff, the opinion of the dean or the head of an all-university centre is required. For events organized by UMCS student scientific groups, the application must include a positive opinion from the group's supervisor.
  8. The Rector may request supplementary information or explanations from the applicant and specify any conditions for granting honorary patronage.
  9. The UMCS Press Center is responsible for reviewing and processing applications for the honorary patronage of the Rector.

PROCEDURE FOR SUBMITTING AN APPLICATION FOR PATRONAGE

  1. The application for honorary patronage by the Rector of UMCS is submitted by the organizer using the application form.
  2. The application for honorary patronage includes:
    1) detailed information about the planned event and its purpose,
    2) the date of the event or - in the case of ongoing events - its schedule,
    3) information about the planned number of participants,
    4) promotional benefits resulting from the Rector of UMCS taking honorary patronage,
    5) description of the event promotion plan,
    6) opinion of the direct superior,
    7) information about other patrons of the event (institutions, sponsors, media),
    8) information about the organizer of the event,
    9) first name, last name and contact details of the person responsible for coordinating the implementation of the event, including the function.
  3. The applicant submitting the form declares that they are familiar with the rules related to granting honorary patronage of the Rector of UMCS.

OBLIGATIONS AND PRIVILEGES ASSOCIATED WITH GRANTING PATRONAGE

  1. The applicant granted honorary patronage by the Rector of UMCS must ensure that the event is conducted in accordance with the details and assumptions outlined in the application.
  2. Having received approval for honorary patronage, the applicant is required to download the appropriate UMCS logo from the website: www.media.umcs.pl.
  3. The organizer must display the UMCS logo and include information about the honorary patronage in all promotional materials related to the event, such as conference materials and media announcements.
  4. Draft materials featuring the UMCS logo must be submitted for review and approval before publication. These materials should be sent to the following email address: patronat@mail.umcs.pl.
  5. The organizer is required to fulfill the promotional commitments specified in the application for honorary patronage. Failure to do so may result in the withdrawal of patronage.
  6. The organizer of an event granted honorary patronage has the right to reference this distinction in all correspondence related to the event, including communications with potential sponsors or additional patrons.

WITHDRAWAL OF PATRONAGE

  1. The Rector of UMCS reserves the right to withdraw the honorary patronage of an event at any time and without providing a reason.
  2. The organizer will be promptly informed of the withdrawal via email.
  3. In the event of withdrawal, the organizer is required to immediately cease promotion of the event under the Rector’s honorary patronage and any use of the UMCS logo in connection with the event.
